Follow this step-by-step guide to develop SOPs that are practical, scalable, and optimized for digital use. ### Step-by-Step SOP Writing Guide - Start with the end in mind Define the ultimate goal of the SOP. For example, if it outlines machine maintenance, the aim may be to minimize downtime and uphold safety through preventive maintenance. - Select a format that fits Choose a structure that works best for your content. Common SOP formats include: - Hierarchical step-by-step lists - Flowcharts - Interactive checklists Reuse or adapt existing documents when available, or create a new format using a digital SOP tool. - Gather input from your team Involve the people who will actually follow the SOP. Their input ensures the procedure reflects real workflows and includes all necessary steps. - Define scope and dependencies Determine if the SOP relies on processes from other departments. Link to existing procedures or include them directly to create a seamless cross-functional workflow. Visual tools like flow diagrams or RACI matrices may help clarify responsibilities. - Understand your audience Tailor the SOP to the knowledge level of your users. Consider language proficiency, experience levels, and background knowledge to ensure it's both clear and actionable. Involving users in the drafting process improves clarity and adoption. - Draft and enhance with visuals Write the SOP in clear, sequential steps. Take advantage of digital features by embedding visual aids such as: - Photos that illustrate tasks - Short videos that demonstrate procedures These elements boost comprehension — especially in multilingual work environments — and reduce misinterpretation. - Review, test, and update Validate the SOP by testing it in real scenarios and collecting user feedback. Revisit it every 6 to 12 months, or sooner if needed. One of the key advantages of digital SOPs is how easily they can be updated to reflect process changes. By using a structured and collaborative approach, you'll create SOPs that support operational excellence, ensure compliance, and empower frontline workers to execute their tasks with confidence. ## What Can You Achieve With a Standard Operating Procedure (SOP)? An audit trail is the complete, time-stamped record of who executed which step of a procedure, when, and with which result. In the Work Instruction App the trail is not a separate log that someone has to maintain: it is created automatically while an operator executes a work instruction. Each confirmation, entered value, scanned barcode, photo and signature is stored with the user, the timestamp and the version of the instruction that was used. That last point matters in audits. An auditor does not only ask whether a task was done, but whether it was done according to the approved version of the procedure. Because every execution is linked to the published version, you can show exactly which steps, limits and checks applied at that moment, even years later. ## How the audit trail works - An operator opens a work instruction on a phone, tablet or PC, for example by scanning the [QR code](https://workinstruction.app/qr-code) on the machine. - Every step is confirmed or asks for input: a value, a yes/no check, a photo, a barcode scan or a signature. - Each answer is saved immediately with user, date, time and instruction version; a completed execution keeps its original values, corrections are made in a new execution or a remark. - Managers review executions per instruction, user, period or result in the app, and pull the data into other systems through the REST API. ## Use case: customer complaint on a delivered batch A customer reports a defect on a batch delivered six weeks ago. With paper records the quality manager collects binders and hopes the right sheet was filled in. With a digital audit trail the search takes a minute: open the executions for that product and date, see which operator performed the final inspection, which values were entered and the photo of the label before shipping. The same data feeds internal audits and certifications: [ISO 9001](https://workinstruction.app/iso-9001) asks for controlled documented information and evidence of results, [GMP](https://workinstruction.app/gmp) asks for contemporaneous, attributable records. Both are satisfied by design instead of by discipline. ## Frequently asked questions about the audit trail ### Can executions be changed after the fact? No. A completed execution keeps its original values, user and timestamps. Corrections are made by a new execution or an added remark, so the original record stays intact, as auditors and regulators expect. ### How long is the audit trail kept? For as long as your subscription runs, without a limit on the number of executions. You can retrieve executions at any time in the app or through the REST API for your own archive or retention policy. ### Does the audit trail work offline? Executions need a connection to be saved, so that every record has a reliable server timestamp. On the shop floor most customers use Wi-Fi or mobile data; the app is light enough to run on a weak connection. ## Sources - [21 CFR Part 11 – Electronic records and electronic signatures (eCFR)](https://www.ecfr.gov/current/title-21/chapter-I/subchapter-A/part-11) - [ISO 9001:2015 – Quality management systems (ISO)](https://www.iso.org/standard/62085.html) ## Related pages - [Version control](https://workinstruction.app/version-control) - [Digital Forms for SOP Data Capture](https://workinstruction.app/form) - [Digital Checklist Software for Operations](https://workinstruction.app/checklist) - [Ensure ISO 9001 Quality with Digital SOPs](https://workinstruction.app/iso-9001) --- ## Digital Checklist Software for Operations URL: https://workinstruction.app/checklist Updated: 2026-08-26 Description: Create, assign, and track smart checklists. Improve efficiency, accuracy, and compliance with a system designed to streamline your operations. [Start your free 30-day trial](https://workinstruction.app/free-trial#src=checklist-inline1) ## What is a digital checklist? A digital checklist is a list of checks an operator confirms on a phone, tablet or PC instead of ticking boxes on paper. In the Work Instruction App a checklist is a work instruction in which every step asks for a confirmation, a value, a photo or a scan. The difference with paper: every tick has a name and a time, skipping a check is impossible, and a deviating value is visible while the operator is still at the machine. Checklists are the fastest way to start with digital work instructions. Start-up checks, end-of-shift cleaning, safety rounds, forklift inspections and 5S audits are usually converted in an afternoon and replace the paper forms that nobody reads back. ## How checklists work in the app - Create the checklist as a series of steps; each step can hold a photo of the correct state and a short instruction. - Choose the input per step: yes/no, a number, text, a photo, a barcode or a signature (see [user input](https://workinstruction.app/user-input)). - Publish it and open it via [QR code](https://workinstruction.app/qr-code), [NFC tag](https://workinstruction.app/nfc-sop) or the list of instructions; every colleague sees the current version. - Review results per checklist, per user and per period, and follow up on failed checks the same day. ## Use case: daily start-up check of a production line A food producer replaced a paper start-up form with a 14-step digital checklist: guards in place, temperatures noted, metal detector test passed with a photo of the test piece, allergen cleaning confirmed. The line leader sees at 06:15 which lines are ready and which check failed, instead of finding an unsigned form at the end of the week. Because every step carries a name, a time and, where relevant, a photo, the checklist doubles as the record for the [audit trail](https://workinstruction.app/audit) and for customer audits. ## Frequently asked questions about digital checklists ### Can a checklist contain photos and values as well as ticks? Yes. Each step chooses its own input type: confirmation, number, text, photo, barcode scan or signature. Steps can also show a reference photo of the correct state. ### Can I see whether a checklist was done today? Yes. The execution overview shows per checklist which user executed it on which day and with which results, so a missing or failed check is visible immediately. ### Is there a checklist template to start from? Yes. The [getting started guide](https://workinstruction.app/getting-started) shows how to build a first checklist in minutes, and the free work instruction template on the [work instruction page](https://workinstruction.app/workinstruction) gives a structure you can copy. ## Related pages - [Digital Forms for SOP Data Capture](https://workinstruction.app/form) - [Audit Software](https://workinstruction.app/audit) - [User Input Types for SOPs](https://workinstruction.app/user-input) - [QR Code Scanning to Start a Standard Operating Procedure](https://workinstruction.app/qr-code) --- ## Digital Forms for SOP Data Capture URL: https://workinstruction.app/form Updated: 2026-09-26 Description: Replace paper with mobile-first forms: values, photos, barcode scans, signatures, timestamps and user attribution for audit-ready records in every work instruction. # Optimize Data Collection & Task Management with Digital Forms Last updated: 26 September 2026 Traditional paper-based forms are inefficient, prone to errors, and difficult to manage. [Start your free 30-day trial](https://workinstruction.app/free-trial#src=form-inline1) ## What is a digital form in a work instruction? A digital form collects structured data during the execution of a task: quantities, measurements, batch numbers, temperatures, remarks, photos and signatures. In the Work Instruction App forms are not separate documents: each step of an instruction can ask for input, so the form is filled in at the moment and place where the value originates. That removes the transcription step from paper to spreadsheet in which most errors happen. Entered values are stored with the execution, together with user, timestamp and instruction version, and are available for analysis in the app and through the REST API. ## How forms work in the app - Add an input step to an instruction: number, text, date, photo, barcode or signature (see [user input](https://workinstruction.app/user-input)). - Show the target value or a reference photo in the step, so the operator knows what a correct result looks like. - Combine input with [device input](https://workinstruction.app/device-input) such as barcode scanners, so operators type less and scan more. - Analyse results per instruction and period in the app, or pull them into your ERP, MES or BI tool through the REST API. ## Use case: batch record in a chemical plant A chemical producer registered batch data on paper: raw material lot numbers, weighed quantities, reactor temperatures at fixed times, a final pH. Transcribing this into the ERP took an hour per batch and produced errors. Now the operator scans the lot label, enters the weight from the scale, reads the temperature from the display and photographs the pH meter, all in the instruction steps. The batch record is complete when the instruction is complete, with a timestamp per step. The QA reviewer opens it on screen and signs, instead of chasing a binder. ## Frequently asked questions about digital forms ### Can I get form data into Excel or my ERP? Yes. Executions with all entered values are available through the REST API, which is how customers feed Excel, Power BI, ERP and MES systems. See the [Exact Online integration](https://workinstruction.app/exact-online) for an example. ### Can a form be required before the next step? Yes. An input step must be completed before the operator can continue, so a record is never missing at the end of the instruction. ### Can operators attach photos to a form? Yes. A photo step stores the image with the execution; typical uses are labels, damage, gauge readings and finished results. ## Related pages - [Digital Checklist Software for Operations](https://workinstruction.app/checklist) - [User Input Types for SOPs](https://workinstruction.app/user-input) - [Device Input Types for SOPs](https://workinstruction.app/device-input) - [Audit Software](https://workinstruction.app/audit) --- ## Start SOPs with a Simple NFC Tap URL: https://workinstruction.app/nfc-sop Updated: 2026-08-26 Description: Instantly launch the correct SOP with a tap — use the Work Instruction App & NFC tags on equipment to access digital work instructions in seconds. # Start Standard Operating Procedures (SOPs) with a Tap via NFC Tags Last updated: 26 August 2026 Ready to take your shop floor to the next level? Whether you're in pharmaceuticals, medical devices, or food production, GMP-compliant Standard Operating Procedures (SOPs) are essential for ensuring quality, traceability, and audit readiness. The Work Instruction App makes it easy to create, maintain, and distribute SOPs that meet Good Manufacturing Practice (GMP) requirements — with full version control, audit trails, and mobile accessibility. ## Ensure GMP Compliance with Digital SOPs ### Audit-Ready Documentation Maintain a complete history of SOP updates, approvals, and revisions — with timestamps and user credentials. ### Ensure Compliance Follow GMP guidelines by enforcing version control, approvals, and digital signatures for every SOP. ### Real-Time Updates Operators always access the most up-to-date version of each SOP — reducing deviations and risks. ### Role-Based Access Control who can view, edit, or approve SOPs. ## What Makes an SOP GMP-Compliant? GMP-compliant SOPs must be clear, validated, [version-controlled](https://workinstruction.app/version-control), and traceable. They need to reflect actual practices on the floor, be regularly reviewed, and include documented approvals. The Work Instruction App simplifies this by offering features designed specifically for regulated industries: - Document control with approval workflows - Electronic signatures and validation logs - Time-stamped audit trails - Automatic distribution of new versions - Read & understand confirmations Whether you're preparing for an FDA inspection or meeting ISO standards, our app supports full GxP compliance. ## Industries That Rely on GMP SOPs SOPs under GMP are critical in regulated sectors where quality, safety, and repeatability must be guaranteed. Our digital SOP system is ideal for: - Pharmaceutical manufacturing - Medical device production - Food and beverage processing - Cosmetics and personal care - Biotechnology and laboratory operations All procedures are stored centrally, with strict access control and instant availability on mobile or desktop — helping you stay inspection-ready at all times. ## Digitize and Control Your GMP SOPs Today Try the Work Instruction App free for 30 days and simplify GMP compliance with controlled, validated digital SOPs. No credit card required. [Start your free 30-day trial](https://workinstruction.app/free-trial#src=gmp-inline1) ## What GMP requires from work instructions Good Manufacturing Practice (EU GMP, FDA 21 CFR 210/211, and GMP+ for feed) requires that production and quality-control operations follow approved written procedures, that deviations are recorded and investigated, and that records are contemporaneous, attributable, legible, original and accurate (ALCOA). Paper SOPs can satisfy this, but only with strict discipline around versions, signatures and record retention. The Work Instruction App turns these requirements into properties of the system: only the published version can be executed, every step is recorded with user and timestamp at the moment it happens, and completed executions keep their original values. Training and qualification are visible in the [skills matrix](https://workinstruction.app/skills-matrix). ## How GMP work instructions work in the app - Draft, review and publish a procedure; only the published version is visible to operators (see [version control](https://workinstruction.app/version-control)). - Operators execute step by step and record values, checks and photos as they go, with the target value shown in the step. - Deviations are recorded as a remark or a photo in the step and are visible to QA in the execution overview. - Records are complete and retrievable per batch, instruction, user or period for inspections and batch release (see [audit trail](https://workinstruction.app/audit)). ## Use case: line clearance before a packaging run Before a new packaging batch starts, the line must be cleared of materials from the previous product and checked against the packaging order. A digital line-clearance instruction walks the operator through each zone with a reference photo, asks for a confirmation and a photo of the cleared zone and a scan of the new packaging material. The QA release is a signature step at the end. The inspector no longer relies on a ticked checklist; the photos and timestamps show that the clearance was actually performed, in the right order, by a qualified person. ## Frequently asked questions about GMP and digital SOPs ### Is the Work Instruction App validated for GMP? The app supports GMP working practices: versioned procedures, attributable records and executions that keep their original values. Validation of computerised systems (GAMP 5, EU GMP Annex 11) is the responsibility of the user; we supply documentation and support to help you with it. ### Can records be shown to inspectors? Yes. Every execution can be opened in the app with all values, photos, users and timestamps per step, and retrieved through the REST API for your own reports. ### Does the app support electronic signatures? A signature step captures a signature with user and timestamp. Whether this meets 21 CFR Part 11 requirements depends on your procedures for user identification and controls; [contact us](https://workinstruction.app/contact) to discuss your case. ## Sources - [EudraLex Volume 4 – EU GMP guidelines (European Commission)](https://health.ec.europa.eu/medicinal-products/eudralex/eudralex-volume-4_en) - [21 CFR Part 11 – Electronic records and electronic signatures (eCFR)](https://www.ecfr.gov/current/title-21/chapter-I/subchapter-A/part-11) - [FDA guidance on 21 CFR Part 11 scope and application](https://www.fda.gov/regulatory-information/search-fda-guidance-documents/part-11-electronic-records-electronic-signatures-scope-and-application) ## Related pages - [Pharmaceutical SOP Software – GMP-Compliant Instructions](https://workinstruction.app/pharmaceuticals) - [Audit Software](https://workinstruction.app/audit) - [Version control](https://workinstruction.app/version-control) - [Ensure ISO 9001 Quality with Digital SOPs](https://workinstruction.app/iso-9001) - [Hazardous Materials SOP Software for Safe Handling](https://workinstruction.app/materials) --- ## Ensure ISO 9001 Quality with Digital SOPs URL: https://workinstruction.app/iso-9001 Updated: 2026-09-26 Description: Create and manage ISO 9001-compliant work instructions with the Work Instruction App. Standardize SOPs, improve quality, and pass audits with confidence. # ISO 9001: Achieving Quality Through Digital Work Instructions Last updated: 26 September 2026 ISO 9001 is the world's most recognized quality management system (QMS) standard, developed by the International Organization for Standardization (ISO). It provides a framework that organizations of all sizes and industries can use to ensure consistent quality, meet customer expectations, and comply with regulations. ## What is ISO 9001? ISO 9001 sets out the criteria for a quality management system. It is based on several quality management principles including a strong customer focus, the involvement of top management, a process-based approach, and continual improvement. Organizations certified to ISO 9001 demonstrate their ability to consistently provide products and services that meet customer and regulatory requirements. ## Why Documented Work Instructions Are Essential A key requirement of ISO 9001 is the documentation of operational processes. Clear, accessible, and up-to-date work instructions and Standard Operating Procedures (SOPs) are essential to meet clauses related to operational control and competence. Without them, it's impossible to ensure consistent output, reduce errors, and train employees effectively. Poorly documented or outdated instructions can lead to quality issues, failed audits, and customer dissatisfaction. ISO 9001 emphasizes that documented processes must not only exist, but also be communicated, maintained, and continuously improved. ## How the Work Instruction App Supports ISO 9001 Compliance The Work Instruction App is designed to help your organization achieve and maintain ISO 9001 certification through digital, standardized work instructions. Here's how our app supports your QMS: - Create structured SOPs that align with ISO 9001 clause 8.5 (Operational Control) - Ensure version control and easy updates, meeting clause 7.5 (Documented Information) - Track execution in real time to support audit trails and continuous improvement - Train employees visually with videos, images, and step-by-step instructions - Maintain consistency across shifts, locations, and teams By digitizing your work instructions, you reduce the risk of errors and demonstrate compliance with ISO 9001 during audits. Our intuitive platform makes it easy for teams to follow processes exactly as required—anytime, anywhere. [Start your free 30-day trial](https://workinstruction.app/free-trial#src=iso-9001-button) ## What ISO 9001 requires from work instructions ISO 9001:2015 does not prescribe work instructions by name. It requires documented information to the extent necessary to support the operation of processes (clause 4.4), controlled documented information that is available and suitable where needed (7.5), and controlled conditions for production including the availability of documented information that defines the characteristics of products and the activities to be performed (8.5.1). It also requires evidence of competence (7.2) and retained documented information as evidence of results (8.5.1, 8.6). In practice auditors look for three things: is the current version of the instruction available at the workstation, is the person competent, and is there evidence that the required checks were done. Digital work instructions with version control, a skills matrix and an execution log answer all three by design. ## How the app supports ISO 9001 - Document control (7.5): one published version per instruction, with history, owner and dates (see [version control](https://workinstruction.app/version-control)). - Operational control (8.5.1): instructions with photos, values and checks are opened at the workstation via [QR code](https://workinstruction.app/qr-code) or [NFC tag](https://workinstruction.app/nfc-sop). - Competence (7.2): the [skills matrix](https://workinstruction.app/skills-matrix) shows who may execute which instruction and who has done so. - Evidence (8.5.1, 8.6, 9.1): every execution is logged with user, timestamp, values and photos in the [audit trail](https://workinstruction.app/audit). - Improvement (10.3): remarks from operators feed new versions; the history shows what changed and when. ## Use case: external audit without a binder During a surveillance audit the auditor asked how a machine operator knows the current version of the instruction. The team leader scanned the QR code on the machine, showed the instruction with its version and date, opened the skills matrix to show the qualification of the operator and pulled up the executions of last week with the recorded values. The finding of the previous year, outdated instructions in the binder at the machine, was closed. For regulated industries see also [GMP](https://workinstruction.app/gmp). ## Frequently asked questions about ISO 9001 and work instructions ### Does ISO 9001 require written work instructions? Not by name. It requires documented information where its absence would lead to deviations. Where a task is error-prone or performed by several people, an auditor will expect an instruction. ### Can work instructions be digital under ISO 9001? Yes. ISO 9001 is medium-neutral: documented information can be paper, PDF or an app, as long as it is identified, controlled, available and protected. ### What evidence do auditors ask for? That the current version was used, that the person was competent and that the required checks and results were recorded. An execution log with user, timestamp, values and photos covers all three. ## Sources - [ISO 9001:2015 – Quality management systems (ISO)](https://www.iso.org/standard/62085.html) ## Related pages - [Audit Software](https://workinstruction.app/audit) - [Version control](https://workinstruction.app/version-control) - [GMP-Compliant SOPs Made Easy](https://workinstruction.app/gmp) - [SOP Software for Standard Operating Procedures](https://workinstruction.app/sop) - [Blog](https://workinstruction.app/blog) ## Questions? The Work Instruction App is not available offline. To have the latest work instructions available anytime, anywhere, an online connection is required. Fortunately, it's almost always possible to be online these days using Wi-Fi or mobile networks. Because the app is available online, you always have the latest work instructions, and all completed SOPs are immediately saved and available to your colleagues. ## How secure is the Work Instruction App app? The Work Instruction App is very safe. We will make every effort to take appropriate infrastructural and procedural measures to protect your data against loss or unlawful processing. The servers from Industrial IT are located in Europe and are subject to Dutch law. The Work Instruction App only communicates via HTTPS. The safest protocol on the internet. The databases containing customer data are backed up every hour to limit any possible data loss. ## Where is our data stored? All data is stored on servers in Europe, operated by Industrial IT and subject to Dutch law. Every customer gets a separate database, created when the account is made, so your work instructions and recorded results are never mixed with another company's data. Those databases are backed up every hour. ## Who can see our work instructions and recorded data? Only the users you invite to your company. Access is set per user through roles, so you decide who may read, create, approve or publish work instructions. Because every customer has a separate database, users of another company cannot reach your data at all. You can also connect Microsoft Entra ID, so someone who leaves loses access the moment their Microsoft account is disabled. ## How long is our data kept, and can we have it deleted? Your data stays available for as long as your subscription runs. If you stop using the service we delete your data 30 days after the subscription end date, or earlier on request. Invoicing data such as contact details and invoices is kept for the statutory period of seven years. On request we show you which data is stored and you can have it corrected. ## How is the connection to the app protected? The app is only reachable over HTTPS: plain HTTP is redirected to the encrypted connection, and HSTS is enabled for a year including subdomains so browsers keep using it. Responses also carry a Content-Security-Policy, X-Frame-Options, X-Content-Type-Options and a strict Referrer-Policy, which limit what a browser may load or pass on. Found a weakness? Report it through our responsible disclosure policy. ## Related pages - [Responsible Disclosure Policy](https://workinstruction.app/responsible-disclosure) - [Audit Software](https://workinstruction.app/audit) - [Version control](https://workinstruction.app/version-control) - [FAQ – Digital SOP & Work Instruction Software](https://workinstruction.app/faq) ## Questions? A skills matrix (also competency matrix or qualification matrix) is a table of employees against tasks or work instructions, showing who is qualified for what. In the Work Instruction App the matrix is not maintained by hand: it follows from the work instructions each user is allowed to execute and has executed. That makes it a living document instead of a spreadsheet that is outdated the day after the audit. [ISO 9001](https://workinstruction.app/iso-9001) clause 7.2 (competence) and [GMP](https://workinstruction.app/gmp) require that people performing work are demonstrably competent. A skills matrix linked to real executions gives that evidence without extra administration. ## How the skills matrix works in the app - Work instructions are assigned to users or groups; the matrix shows which user may execute which instruction. - Executions are logged, so the matrix also shows who has actually performed an instruction, and when for the last time. - Gaps become visible: instructions that only one person can execute, or people without a recent execution of a critical task. - Use the matrix for shift planning, onboarding plans and audit evidence of competence. ## Use case: single point of failure on the night shift A metal-working company discovered through the matrix that only one operator was qualified for the changeover of the largest press, and that this operator worked day shift only. Two colleagues were trained with the digital work instruction and executed it under supervision; their executions in the [audit trail](https://workinstruction.app/audit) became the training record. Six weeks later the night shift performed its first changeover without calling anyone at home. ## Frequently asked questions about the skills matrix ### Do I have to fill in the skills matrix by hand? No. The matrix follows from the assignment of work instructions to users and from the executions that are logged. You maintain assignments; the app maintains the evidence. ### Can I record external certificates? The matrix is based on work instructions in the app. External certificates (forklift licence, safety training) can be modelled as an instruction with a signature or photo step, so their evidence lives in the same place. ### Is the skills matrix accepted as audit evidence? Auditors ask for evidence that people are competent for the work they do. A matrix linked to executed instructions, with dates and results, is stronger evidence than a signed training list. ## Related pages - [Knowledge Management Software for Operational SOPs](https://workinstruction.app/knowledge-management) - [Getting Started: Create Your First Digital SOP](https://workinstruction.app/getting-started) - [Manufacturing SOP Software & Digital Work Instructions](https://workinstruction.app/manufacturing) --- ## Knowledge Management Software for Operational SOPs URL: https://workinstruction.app/knowledge-management Updated: 2026-08-26 Description: Capture, organize and share operational knowledge. Centralize SOPs, templates and best practices with version control, search, and permissions for every team. # Knowledge management for operational SOPs Last updated: 26 August 2026 In today's fast-paced business landscape, effective Knowledge Management (KM) is essential for organizations to remain competitive, innovative, and efficient. By capturing, storing, and disseminating valuable insights, KM ensures that critical information is readily available to the right people at the right time. Simultaneously, Standard Operating Procedures (SOPs) serve as the backbone for consistent performance, compliance, and quality control. ## Why Knowledge Management Matters - Knowledge Retention: Prevent loss of expertise when employees leave or change roles. - Faster Onboarding: Help new hires learn best practices quickly. - Collaboration & Innovation: Encourage teamwork and innovation. ## How SOPs Enhance Operational Consistency - Improved Efficiency: Standardize workflows and reduce wasted time. - Quality Assurance: Maintain standards and ensure satisfaction. - Risk Management: Mitigate risks and ensure compliance. ## The Synergy Between KM and SOPs While SOPs outline "how to do things right," Knowledge Management explains "why it's done that way." - Capture Tribal Knowledge: Add experiential insights to SOPs. - Enable Continuous Improvement: Gather ongoing feedback for updates. - Enhance Training & Development: Provide resources for growth. ## Implementing an Integrated KM-SOP System To fully realize the benefits, organizations should: - Centralize Documentation: One place for all SOPs and knowledge. - Engage Stakeholders: Include all employees in the improvement process. - Monitor & Refine: Keep SOPs relevant and up to date. Combining Knowledge Management and Standard Operating Procedures leads to consistent results and sustainable growth. Knowledge management is the practice of capturing what experienced people know and making it available to everyone who needs it, at the moment they need it. In production and logistics most knowledge is tacit: the settings that work, the check that prevents a defect, the sound a bearing makes before it fails. When those people retire or change jobs, the knowledge leaves with them. The Work Instruction App captures that knowledge as executable work instructions with photos and videos, published where the work happens. Remarks from operators flow back to the owner of the instruction, so knowledge is not only stored but kept current. ## How knowledge management works in the app - Capture: film or photograph the expert while performing the task and turn it into steps (see [work instructions](https://workinstruction.app/workinstruction)). - Publish: one current version per task, opened via QR code or NFC tag at the workstation (see [version control](https://workinstruction.app/version-control)). - Use: operators execute the instruction step by step; the app shows the right photo, value and check at the right moment. - Improve: remarks from the shop floor go to the owner, who publishes the improved version; the [skills matrix](https://workinstruction.app/skills-matrix) shows who has mastered which task. ## Use case: retiring maintenance technician The most experienced technician of a packaging company announced his retirement in eight months. Instead of writing a manual, he recorded 40 short instructions with his phone: settings per product, recurring faults and their fixes, the weekly checks. Each instruction was reviewed by a younger colleague who executed it and asked questions. On his last day the knowledge was in the app, linked to the machines by QR code, and the younger colleagues had executed every instruction at least once. ## Frequently asked questions about knowledge management ### How is this different from a wiki or SharePoint? A wiki stores documents that people have to search for and read. A work instruction is executed step by step at the workstation, with the right photo and check at the right moment, and every execution is logged. Knowledge is used instead of stored. ### How do we keep the knowledge current? Every instruction has an owner and operators can leave remarks while executing. The owner reviews remarks and publishes a new version; older versions stay in the history. ### Can videos be part of an instruction? Yes. Steps can contain photos and videos, so the demonstration by the expert is part of the instruction, not a separate file. ## Related pages - [Digital Skills Matrix Software](https://workinstruction.app/skills-matrix) - [SOP Software for Standard Operating Procedures](https://workinstruction.app/sop) - [Version control](https://workinstruction.app/version-control) - [Getting Started: Create Your First Digital SOP](https://workinstruction.app/getting-started) --- ## Digital Logbook with NFC Tags URL: https://workinstruction.app/logbook Updated: 2026-08-26 Description: Instantly access digital logbooks by scanning an NFC tag — with the Work Instruction App you log interventions, inspections and service history on site. # Access Digital Logbooks Instantly by Scanning an NFC Tag Last updated: 26 August 2026 Looking for an easier way to manage logbooks for your installations? With the Work Instruction App, you can place an NFC tag directly on the machine or system. When scanned with any smartphone or tablet, the correct digital logbook opens instantly — complete with full history and the option to add new entries. This ensures accurate documentation, faster reporting, and 24/7 availability of critical information right at the installation site. ## Why Use NFC Tags for Digital Logbooks? ### Instant Logbook Access Technicians scan the NFC tag on the installation to immediately open the correct logbook. No searching, no confusion. ### Complete History All previous interventions and notes are stored in one place, accessible anytime at the installation itself. ### Easy Updates Add new information directly on site. Technicians can log issues, repairs, or inspections with just a few taps. ### Reliable Compliance Ensure every maintenance activity is properly recorded to meet safety, audit, and compliance requirements. ## How It Works Each technical installation — for example, a fire alarm or security system — is assigned a unique NFC tag. When a technician scans the tag with their mobile device, the corresponding digital logbook opens automatically in the Work Instruction App. From there, they can view the full service history, add notes, or upload inspection results directly on site. ### Setup in 3 Simple Steps: - Create a digital logbook in the Work Instruction App - Link an NFC tag to that logbook - Attach the NFC sticker directly to the machine or installation That's it — no paperwork, no lost binders, just instant access where and when it's needed. ## Benefits of NFC-Triggered Digital Logbooks - Eliminate paper-based logbooks that get lost or outdated - Access the right logbook instantly at the point of use - Maintain complete service history across all installations - Speed up inspections and reduce administrative workload - Improve compliance with safety and audit requirements - Allow multiple technicians to contribute updates in real-time - Increase transparency and accountability across shifts With NFC tags, every installation has a living, digital logbook — ensuring safety, reliability, and efficiency on the shop floor. ## Digitize Your Installations with NFC-Driven Logbooks Start your free 30-day trial of the Work Instruction App and give your team instant access to digital logbooks — with just a scan. No credit card required. [Start your free 30-day trial](https://workinstruction.app/free-trial#src=logbook-inline1) ## What is a digital logbook? A logbook records events around a machine, vehicle, room or product over time: maintenance performed, readings taken, incidents, cleaning, handovers between shifts. In the Work Instruction App a logbook is a work instruction that is executed repeatedly for the same object, opened by scanning the QR code or NFC tag on that object. Every entry carries the user, the timestamp and the photos and values entered, so the history of the object is complete and searchable. Compared with a paper logbook hanging on the machine, the digital version cannot get lost, is readable from the office, and shows at a glance when the last entry was made and by whom. ## How the logbook works in the app - Put a [QR code](https://workinstruction.app/qr-code) or [NFC tag](https://workinstruction.app/nfc-sop) on the object; scanning it opens the logbook instruction for that object. - The operator records the event: type of entry, values, photos, remarks, and confirms. - Every entry is stored with user, date and time; the sequence of entries is the history of the object. - Maintenance, QA and management read the history from any device and use it for planning, root-cause analysis and audits. ## Use case: rental equipment handover An equipment rental company attaches an NFC tag to every generator, pump and aerial platform. At delivery and return the driver taps the tag, photographs the machine from four sides, records hour meter and fuel level and lets the customer sign. Damage discussions disappear because the condition at handover is documented with photos and a signature. The same logbook holds the service entries between rentals, so the fleet manager sees the complete life of each machine in one place. See also [rental](https://workinstruction.app/rental). ## Frequently asked questions about digital logbooks ### Can several people write in the same logbook? Yes. Every user with execute rights can add an entry from their own device; entries are attributed to the user who made them. ### Can I see the history of one machine? Yes. Because the logbook is linked to the QR code or NFC tag of the object, all executions for that object form its history, filterable by period and user. ### Does a logbook replace a maintenance management system? For many small and medium-sized companies it does: the logbook records what was done, when and by whom. Planning and spare-parts management stay in your maintenance or ERP system, which can read the entries through the REST API. ## Related pages - [Start SOPs with a Simple NFC Tap](https://workinstruction.app/nfc-sop) - [QR Code Scanning to Start a Standard Operating Procedure](https://workinstruction.app/qr-code) - [Digital Checklist Software for Operations](https://workinstruction.app/checklist) - [Rental Equipment SOP & Inspection Software](https://workinstruction.app/rental) --- ## Version control URL: https://workinstruction.app/version-control Updated: 2026-09-26 Description: Ensure teams always use the latest work instructions. Work Instruction App provides version control, audit trails, and easy publishing to reduce errors # Work Instruction version control Last updated: 26 September 2026 ## Version control - Quick overview Step 1 ### Create Start a new work instruction and add content (text, images, videos, checklists). Step 2 ### Save Save drafts as you go. Drafts are only visible to managers. Step 3 ### Publish Publish when ready. The published version is available to end users. Step 4 ### Update & Retract Editors can create a new version. Retract to prevent execution while managers can continue editing. ## Frequently asked questions ### What is version control in Work Instruction App? Version control tracks every change to a work instruction. Each published update becomes a new version with a timestamp and author, creating a clear audit trail while ensuring users always access the correct, most recent guidance. ### How do I create, save, and publish a work instruction? - Create: Add a new instruction and insert your content. - Save: Save your draft as you refine it. Drafts are not visible to Execute users. - Publish: When ready, publish the instruction so authorized end users can execute it. ### What happens when I edit a published instruction? Editing a published instruction produces a new version. The prior version remains available in the history for audit and rollback. End users will see the latest published version. ### What does it mean to retract an instruction? Retract removes a work instruction from execution. Managers can still view and edit a new version of the retracted instruction. However, users with an Execute subscription cannot run it until it is published again. ### Can I continue editing after retraction? Yes. Retraction is ideal for pausing execution while you fix issues or make improvements. Managers can keep iterating and publish a new version when the instruction is ready again. ### Who can execute retracted instructions? No one. Retracted instructions are not executable by users with an Execute subscription. Only managers can access them for review and editing. ### Can I roll back to a previous version? Yes. You can restore or republish an earlier version if needed. Version history provides visibility into who changed what and when, supporting audits and compliance. ### What do Execute users see during edits? Execute users only see the latest published version. Drafts and retracted instructions are hidden from execution to prevent using outdated steps. ### Any best practices for clean versioning? - Use clear titles and summaries when publishing a new version. - Retract if safety, quality, or compliance is in question. - Bundle minor edits into one publish to reduce noise. - Review version history regularly to ensure traceability. ## Related pages - [SOP Software for Standard Operating Procedures](https://workinstruction.app/sop) - [Audit Software](https://workinstruction.app/audit) - [Ensure ISO 9001 Quality with Digital SOPs](https://workinstruction.app/iso-9001) - [Work Instruction Software Features – SOPs & Checklists](https://workinstruction.app/features) - [Glossary: SOP and Work Instruction Terms Explained](https://workinstruction.app/glossary) ## Try the Work Instruction App for free Create your first digital work instruction in minutes. 30-day free trial, no credit card required. Use Full, 1/2, 1/3, 2/3, or 1/4 layouts for clear, scannable work instructions. # Design clear SOPs with the grid system Last updated: 26 August 2026 In WorkInstruction.app, every SOP (Standard Operating Procedure) is composed of elements you can size with a click on the Gear. Select Full width, 1/2, 1/3, 2/3, or 1/4 to build readable, scaleable procedures. - Improved readability and consistency across procedures - Responsive from mobile to desktop with the grid system - Mix-and-match widths for images, text blocks, videos, and checklists ## How the grid works The layout is based on a 6-column grid. Each width maps to a specific column span: Full width = 12, 1/2 = 6, 1/3 = 4, 2/3 = 8, 1/4 = 3. On smaller screens, columns stack automatically so your SOPs stay legible. ### Example ### Full width (12/12) Ideal for step headings, hero images, safety warnings, or long text. In the grid this is simply the default setting, Full width ### Half width (1/2) Use 1/2. Great for pairing an image with a short instruction or for side-by-side checklists. ### Half width (1/2) Combine two halves for symmetry. This pattern works well for "Do / Don't" examples or parallel process paths. ### One third (1/3) Use 1/3. Good for a compact photo, icon list, or KPI card. ### Two thirds (2/3) Use 2/3. Pair with a 1/3 block to present an explanation next to a visual. ### Two thirds (2/3) Use 2/3. Pair with a 1/3 block to present an explanation next to a visual. ### One third (1/3) Use 1/3. Good for a compact photo, icon list, or KPI card. ### Quarter (1/4) 1/4. Perfect for short steps, tool lists, or quick safety reminders. ### Quarter (1/4) Stack four quarters to create a compact dashboard of steps or resources. ### Quarter (1/4) Quarters remain readable on mobile because they stack to full width automatically. ### Quarter (1/4) Use consistent headings and short paragraphs to keep scanning effortless. ## Set element width via the gear icon When you add a new element to a work instruction, click the gear icon on that element to choose how wide it should be. The Work Instruction App instantly applies the right grid classes and reflows the layout—no code needed. Gear ### 1) Open layout options Click the gear icon on the element you want to resize. This reveals width presets aligned to the grid. ### 2) Choose a preset Select Full width, 1/2, 1/3, 2/3, or 1/4. ### 3) Save and reorder Drag to reorder elements and fine-tune hierarchy. Use consistent headings and concise copy to improve scanability. ## Width presets using the SOP grid system | Preset | Columns (12-grid) | Typical use | | Full width | 12 | Step titles, hero images, long explanations, safety notices | | 1/2 | 6 | Two columns of balanced content; image + text pair | | 1/3 | 4 | Small visuals, KPI cards, quick notes next to main content | | 2/3 | 8 | Primary explanation next to a 1/3 support block | | 1/4 | 3 | Four-up tiles for steps, tools, links or safety reminders | ## FAQ: Grid & SOP best practices ### How do I decide between Full width and split columns? Use Full width for key steps, warnings, or complex instructions. Use 1/2 for symmetric pairs, and 1/3 + 2/3 when an image or short list supports a larger explanation block. ### Can I mix different widths within the same row? Yes. The grid is 12 columns, so any combination that sums to 12 (e.g., 4 + 8, 3 + 3 + 6, 3 + 3 + 3 + 3) will align perfectly on desktop and stack on mobile. ## Related pages - [Display Input Types for SOPs](https://workinstruction.app/display-input) - [User Input Types for SOPs](https://workinstruction.app/user-input) - [Getting Started: Create Your First Digital SOP](https://workinstruction.app/getting-started) ## Try the Work Instruction App for free Create your first digital work instruction in minutes. 30-day free trial, no credit card required. Guide every step on mobile, reduce errors, and keep versions and approvals in sync. # What Are Work Instructions — And Why Do They Matter? Last updated: 26 September 2026 Clear, actionable work instructions are the foundation of a well-organized production environment. They guide operators step-by-step through complex tasks, ensuring that every job is performed consistently, safely, and according to standard. Whether you're manufacturing, maintaining equipment, or conducting inspections — effective work instructions help reduce human error, increase efficiency, and improve product quality. ## Why Use Digital Work Instructions? ### Always Accessible Operators can access instructions anytime, from any device — even right at the machine or workstation. ### Visual & Clear Use photos, diagrams, and videos to make steps easier to follow and reduce ambiguity on the shop floor. ### Always Up-to-Date Digital work instructions can be updated in real time — no more outdated paper binders or PDFs. ### Operator Friendly Work instructions built for the people who use them — easy to understand, follow, and improve together. ## Digital Work Instructions vs. Traditional Paper Manuals Traditional work instructions are often stored in binders or printed on paper. They're hard to update, get lost, and are rarely read. Digital work instructions, on the other hand, are: - Instantly available on mobile and desktop - Always reflect the latest process version - Easier to understand thanks to images and videos - Connected to SOPs, checklists, and data capture - Centralized and searchable by all users By moving to a digital system, teams reduce mistakes, downtime, and wasted effort — while improving speed and safety. ## Key Elements of Effective Work Instructions Great work instructions aren't just checklists — they're living documents that drive clarity, consistency, and performance. Here's what to include: - Step-by-step structure: Break down tasks into clear, numbered steps. - Visuals: Use images, diagrams, or videos to show exactly what needs to happen. - Purpose & scope: Clearly define the goal of the instruction and when to use it. - Tools & materials: List everything needed to complete the task. - Safety notes: Highlight hazards and include mandatory PPE instructions where applicable. - Responsibility: Specify who is expected to perform or approve each step. - Feedback & improvement: Allow operators to suggest changes and improve instructions over time. These elements help ensure that instructions are usable, effective, and aligned with your operational goals. ## Create, Manage, and Improve Work Instructions with Ease Empower your team with visual, mobile-friendly work instructions that evolve with your processes. Automate workflows, reduce manual entry and keep data consistent. # Exact Online Standard Operating Procedure (SOP) Last updated: 26 September 2026 A Standard Operating Procedure (SOP) is a detailed, step-by-step instruction that describes how to perform specific tasks within an organization. By implementing a clear SOP, you reduce errors, improve productivity, and keep everyone on the same page. It is the key to standardization and success in any business operation! ## Exact Online Workinstruction The Work Instruction App digitizes SOPs for daily guidance. Tasks are logged in a traceable manner for auditability. You can support business processes such as goods checks, work orders, inspections, and onboarding using clear, media-rich instructions—anytime, anywhere via mobile app. ## What is an Exact Online SOP? An Exact Online SOP (Standard Operating Procedure) is a structured work instruction that guides users through key business processes within the Exact Online environment. These procedures cover tasks such as invoicing, order management, inventory updates, and financial reporting. By implementing SOPs in Exact Online, organizations can reduce errors, improve consistency, and ensure that every team member follows the same steps. SOPs can be integrated into specific modules and actions in Exact Online, helping users perform complex tasks with clarity and precision. Digital SOPs also provide version control, step-by-step tracking, and audit logs — essential for maintaining quality standards, meeting compliance requirements, and training new staff efficiently. ## How Does the Exact Online Work Instruction Setup Work? Setting up a work instruction for Exact Online begins by documenting a recurring business task — for example, processing supplier invoices or performing account reconciliations. This task is then translated into a structured, digital instruction within a SOP platform such as the WorkInstruction App. Examples include "Create sales invoice", "Verify VAT return", or "Post journal entries". Instructions are broken down into clear, actionable steps — often supported by screenshots, tooltips, and notes. Once integrated, these instructions appear contextually while the user works in Exact Online. The result: immediate, in-app guidance without disrupting the workflow. This makes Exact Online work instructions especially useful for onboarding, compliance, and scaling standardized operations. ## Exact Online Standard Operating Procedure – Real-World Example Imagine you work in the finance department and handle monthly VAT submissions in Exact Online. With an Exact Online Standard Operating Procedure, that process becomes a clear, repeatable workflow: - Review unprocessed transactions - Launch VAT return in Exact Online - Verify calculations and adjustments - Export reports and archive them - Submit to the tax authorities Using the WorkInstruction App, this procedure is transformed into a digital SOP that guides users through each step. Each action is accompanied by explanations, visuals, and checklists. Employees follow the same verified workflow every time — even when team members are absent or new to the system. This real-world example highlights how digital SOPs not only save time and reduce mistakes but also enhance consistency and control within Exact Online. ## Other input types: [### User input](https://workinstruction.app/user-input) [### Device input](https://workinstruction.app/device-input) [### Static display](https://workinstruction.app/display-input) [### Exact Online](https://workinstruction.app/exact-online) Try the Work Instruction App free for 1 month: [Try the Work Instruction App now for 1 month free](https://workinstruction.app/free-trial#src=exact-online-inline1) ## Connect Exact Online to the Work Instruction App Log in and navigate to Settings via the gear icon: Under the Exact Online tab, click Login: Select your country (usually Netherlands): Authorize access: ## Loading Data Return to the settings page and click "Load all items to cache" under the Exact Online tab: Exact Online properties will be loaded: Followed by the required records: Once complete, you will be redirected to the home screen. ## Add an Exact Online Element Create a new instruction by clicking the green plus button: Click to add an element: Select the required element in the pop-up: Once complete, publish the instruction. ## Select Exact Online Data Start the instruction via "Start workflow": Begin typing in the field to search or scan a barcode: Once selected, the data appears automatically: Complete and save your instruction. ## Analyze Executed Instructions Click Analyze to view performed work instructions: Select a saved instruction to view linked Exact Online data: [Try 1 month free now](https://workinstruction.app/free-trial#src=exact-online-inline2) ## Related pages - [User Input Types for SOPs](https://workinstruction.app/user-input) - [Digital Forms for SOP Data Capture](https://workinstruction.app/form) - [Manufacturing SOP Software & Digital Work Instructions](https://workinstruction.app/manufacturing) - [Work Instruction App Usage](https://workinstruction.app/faq-usage) --- ## User Input Types for SOPs URL: https://workinstruction.app/user-input Updated: 2026-08-26 Description: Structured user input for operations: fields, dropdowns, scans and e-signatures inside SOPs. Who we are and what we stand for. # About Work Instruction App Last updated: 26 September 2026 Work Instruction App is a product of Industrial IT, a Dutch software company that builds tools for the shop floor: digital work instructions, barcode scanning and inventory management. More than 90 companies, from family businesses to Heineken, use the app every day. ## Why we build it Most companies know how work should be done; the knowledge is in the heads of experienced people and in binders nobody opens. We build software that puts that knowledge at the workstation, on the device the operator already has, and that records what actually happened. Fewer errors, faster onboarding and evidence for every audit. We keep the product simple on purpose: one place to create an instruction, a QR code or NFC tag to open it, and an automatic log of every execution. No implementation project, no consultants, live in an afternoon. ## Who builds it The Work Instruction App is developed in-house by Industrial IT. You talk to the people who write the code, not to a support tier. ### Frank Woutersen Founder, Industrial IT Frank builds the Work Instruction App at Industrial IT and writes about digital SOPs, work instructions and shop-floor digitalisation. ## How we work - Built with customers: features come from the shop floor and are tested at real machines before release. - Transparent [pricing per user](https://workinstruction.app/subscription), 30-day free trial without credit card, cancel any time. - Hosted in the EU under Dutch law, HTTPS only, databases backed up every hour (see the [security FAQ](https://workinstruction.app/faq-security)). - Single sign-on with Microsoft Entra ID and a REST API for ERP and MES integration, such as [Exact Online](https://workinstruction.app/exact-online). - Direct contact: call or e-mail the developer, in Dutch, English or German. ## Facts Company Industrial IT, The Work Instruction App is a product of [Industrial IT](https://www.industrialit.nl) Location Ugchelen (Apeldoorn), The Netherlands Products Work Instruction App, barcode scanning and inventory management software Customers 90+ companies in manufacturing, logistics, pharma, materials and rental Hosting European servers, Dutch law, hourly backups, HTTPS only ## Trusted by [Clients of Industrial IT](https://workinstruction.app/#clients) Questions about the company, partnerships or press? Each term links to the page or article that goes deeper. ## # 5S A workplace organisation method from lean manufacturing: sort, set in order, shine, standardise and sustain. The sustain step usually takes the form of periodic 5S audits, which are a natural first digital checklist with photos per area and a score. [Read more](https://workinstruction.app/checklist) ## A ALCOA Acronym for the data-integrity principles used in GMP: records must be Attributable, Legible, Contemporaneous, Original and Accurate (extended to ALCOA+ with complete, consistent, enduring and available). A digital execution log with user, timestamp and original values satisfies these principles automatically. [Read more](https://workinstruction.app/gmp) Audit trail The complete, time-stamped record of who did what, when and with which result. In a digital work instruction it is created automatically per step: user, timestamp, instruction version, entered values, photos and signatures. It is the evidence auditors and customers ask for. [Read more](https://workinstruction.app/audit) ## B Batch record The complete record of the production of one batch: materials and lot numbers used, process parameters, in-process checks, deviations and the persons who performed and verified each step. Digital forms inside work instructions build the batch record while the work is done. [Read more](https://workinstruction.app/form) ## C CAPA (corrective and preventive action) The structured follow-up of a deviation or complaint: find the root cause, correct it and prevent recurrence, then verify that the action worked. A frequent outcome is a changed work instruction; version control and the execution log show that the new version is actually used. [Read more](https://workinstruction.app/iso-9001) Checklist A list of checks that must be confirmed in order, used for start-up, cleaning, safety rounds and inspections. A digital checklist records who confirmed each item and when, can ask for values and photos, and makes skipped checks impossible. [Read more](https://workinstruction.app/checklist) Connected worker A frontline employee equipped with a mobile device that provides instructions, captures data and communicates with company systems in real time. Connected-worker platforms combine digital work instructions, checklists, forms and skills management; the Work Instruction App is one of them. [Read more](https://workinstruction.app/features) ## D Deviation (non-conformance) Any departure from the approved procedure, specification or expected result: a value out of tolerance, a skipped step, a damaged part. Quality systems require deviations to be recorded, assessed and, where needed, followed by corrective action. In a digital instruction a deviation is a remark or photo at the step where it occurred. [Read more](https://workinstruction.app/audit) Digital form Structured data capture inside a work instruction: numbers, text, dates, photos, barcode scans and signatures entered at the step where the value originates. Replaces paper forms and the error-prone transcription to spreadsheets; the data is available for analysis and integration through an API. [Read more](https://workinstruction.app/form) Digital work instruction A work instruction that is executed on a phone, tablet or PC instead of read on paper: each step is shown with photo or video, asks for confirmation or input, and every execution is logged with user and timestamp. Opened at the workstation via QR code or NFC tag. [Read more](https://workinstruction.app/blog/why-use-digital-work-instructions) Document control The set of rules that keeps documents identified, approved, current, available where needed and protected against unintended change or loss. ISO 9001 clause 7.5 calls this control of documented information; version control is its most visible part. [Read more](https://workinstruction.app/version-control) Documented information (ISO 9001) The ISO 9001:2015 term for both documents (procedures, instructions, drawings) and records (evidence of results). It is medium-neutral: paper, PDF, database record or app all qualify, as long as the information is controlled, available and retained as required. [Read more](https://workinstruction.app/iso-9001) ## E Electronic signature A signature captured digitally as part of a step, linked to the logged-in user and a timestamp, used for releases, handovers and approvals. Whether it meets regulatory requirements such as 21 CFR Part 11 depends on the identification and control procedures around it. [Read more](https://workinstruction.app/user-input) Execution (of a work instruction) One run of a work instruction by one user, from the first step to the last, including every confirmation, value, photo and signature entered along the way. Executions are the unit of the audit trail and the basis for analysis: how often, by whom, with which results. [Read more](https://workinstruction.app/audit) ## F First time right The share of tasks or products completed correctly without rework. The main lever is giving the operator the right information at the right moment: a photo of the correct state, the target value and a check before continuing. It is the most direct business case for digital work instructions. [Read more](https://workinstruction.app/workinstruction) ## G Good Manufacturing Practice (GMP) Regulations for pharmaceutical, food, feed and cosmetics production (EU GMP, FDA 21 CFR 210/211, GMP+) requiring approved procedures, qualified people, controlled equipment and complete, attributable records for every batch. Digital work instructions with an audit trail meet the record requirements by design. [Read more](https://workinstruction.app/gmp) ## K Knowledge management Capturing what experienced people know and making it available to everyone who needs it, at the moment they need it. On the shop floor this means turning tacit knowledge into executable work instructions with photos and video, and keeping them current through feedback from operators. [Read more](https://workinstruction.app/knowledge-management) ## L Line clearance The documented check, before a new batch starts, that a production or packaging line is free of materials, products and documents from the previous batch and set up for the next one. A digital line-clearance instruction with photos per zone and a QA signature replaces the ticked form. [Read more](https://workinstruction.app/gmp) Logbook A chronological record of events around one object: a machine, vehicle, room or product. Entries cover maintenance, readings, incidents, cleaning and handovers. A digital logbook is opened by scanning the QR code or NFC tag on the object and stores every entry with user and timestamp. [Read more](https://workinstruction.app/logbook) ## M MES (manufacturing execution system) Software that manages and monitors production orders on the shop floor between ERP planning and machine control. Work instruction software complements an MES by guiding the operator through each task and returning execution data through an API, rather than replacing order management. [Read more](https://workinstruction.app/exact-online) ## N NFC tag A small passive chip that a phone reads by touching it. Like a QR code it opens the work instruction for an object, but it works in dirt, poor light and behind protective covers, and cannot be photographed and reused elsewhere. Common on machines, tools and rental equipment. [Read more](https://workinstruction.app/nfc-sop) ## O Onboarding Bringing a new or temporary employee to the point where they perform tasks correctly and safely without supervision. Digital work instructions shorten onboarding because the instruction guides the first executions and the log shows which tasks a person has completed. [Read more](https://workinstruction.app/knowledge-management) ## P Paperless manufacturing Running production without paper work orders, instructions, forms and logbooks: information is shown on screens and data is captured digitally at the source. The benefits are current information at every workstation, no transcription errors and records that are complete the moment the work is done. [Read more](https://workinstruction.app/blog/why-use-digital-work-instructions) Poka-yoke Japanese for mistake-proofing: designing a process so that errors cannot happen or are detected immediately. In digital work instructions this takes the form of required inputs, barcode checks against the work order and steps that cannot be skipped. [Read more](https://workinstruction.app/device-input) Policy A statement of intent and principles set by management: what the organisation commits to (quality, safety, environment) and the boundaries within which processes operate. Policies rarely change; procedures and work instructions translate them into daily practice. Procedure A description of how a process is performed: who does what, in which order, with which inputs, outputs and records. A procedure sits between policy (why) and work instructions (exactly how). In quality systems the terms procedure and SOP are used interchangeably. [Read more](https://workinstruction.app/sop) ## Q QR code A two-dimensional barcode that a phone camera reads in a second. Printed on a machine, workstation or product, it opens the current work instruction for that object directly, without searching in menus or folders. The cheapest way to link a physical place to a digital instruction. [Read more](https://workinstruction.app/qr-code) ## S Skills matrix A table of employees against tasks showing who is qualified for what, used for planning, onboarding and audit evidence of competence (ISO 9001 clause 7.2). Linked to executed work instructions it maintains itself instead of being a spreadsheet that ages after every audit. [Read more](https://workinstruction.app/skills-matrix) Standard operating procedure (SOP) An approved, versioned description of how a recurring process is carried out: purpose, scope, responsibilities, the activities in sequence and the records to keep. SOPs make results repeatable regardless of who performs the work and are the backbone of ISO 9001 and GMP systems. [Read more](https://workinstruction.app/sop) Standard work The lean-manufacturing principle that every task has one current best-known method, documented and followed by everyone, which is the baseline for improvement. Work instructions are the documented form of standard work; version control keeps the baseline current. [Read more](https://workinstruction.app/workinstruction) ## T Traceability The ability to reconstruct the history of a product or batch: which materials, machines, settings and people were involved, and which checks were performed. Scanned lot numbers and logged executions provide traceability without manual bookkeeping. [Read more](https://workinstruction.app/audit) Tribal knowledge Undocumented know-how that lives only in the heads of experienced employees: the settings that work, the trick that prevents a jam, the check nobody wrote down. It leaves the company when they do. Recording it as work instructions is the core of shop-floor knowledge management. [Read more](https://workinstruction.app/knowledge-management) ## U User roles (execute, analyse, manage) The three levels of access in the Work Instruction App: Execute users run instructions, Analyze users also review executions and results, Manage users also create and publish instructions and manage users. Pricing is per user per role, so operators cost less than managers. [Read more](https://workinstruction.app/subscription) ## V Version control Managing changes to procedures so that only one approved version is in use, every change is traceable (who, when, what) and older versions remain available. Digital systems enforce this automatically; on paper it depends on collecting and replacing every copy. [Read more](https://workinstruction.app/version-control) ## W Work instruction The most concrete level of documentation: a step-by-step guide for one task at one workstation, with one action per step, photos of the real situation, target values and checks. A work instruction belongs to a procedure and is written for the person doing the work. To get there: pick one task, watch it being done, write one action per step, add a photo of the real situation, state target values and checks, test it with a new operator, publish it digitally at the workstation and give it an owner. The template below is the structure we use for every instruction. ## What makes a work instruction good? A work instruction is not a description of a process and not a training manual. It is the shortest possible guide that gets one task done right, by someone who already has the basic skills. Good instructions share five properties: - One task, one instruction. "Change the die on press 3" is a task. "Operate press 3" is a manual. - One action per step. A step that contains "and" usually hides two steps and a place where errors happen. - Concrete values. "Tighten to 35 Nm" instead of "tighten firmly". "Wait until the display shows 180 °C" instead of "wait until hot". - A picture of the real thing. A photo of your machine, your part and your fixture, taken from the position the operator stands in. - A check at every critical point. A confirmation, a measured value or a photo of the result where a mistake would be expensive. ## Eight steps to write a work instruction ### 1. Choose the task and its trigger Start with tasks that cause errors, questions or long onboarding. Write down when the task starts (the trigger: a work order, an alarm, a changeover) and when it is finished (the result: a tested pump on the pallet, a signed release). Everything between those two points belongs in the instruction; everything else does not. ### 2. Watch the task being done by your best operator Do not write from memory. Stand next to an experienced operator, let them perform the task at normal speed and note every action, every tool and every check they perform, including the ones they do not consider worth mentioning. Those unmentioned checks are usually the knowledge you want to capture. ### 3. Take photos from the operator's point of view While watching, photograph each state that is easier to show than to describe: the part in the correct position, the setting on the display, the finished result, and the most common wrong state. Take the photos from where the operator stands, in the real lighting, with the real tools. Two minutes with a phone is enough. ### 4. Write the steps: one action, one verb, one sentence Start every step with a verb: place, tighten, check, measure, confirm. Keep sentences short and avoid adjectives that need interpretation. Compare: | Weak step | Strong step | | Make sure the housing is properly mounted and the bolts are tight. | Place the housing on the two guide pins (photo). Tighten the four M8 bolts crosswise to 25 Nm. | | Let the machine warm up. | Press Start. Wait until the display shows 180 °C (about 4 minutes). | | Check the quality. | Measure the outer diameter at position A (photo). Target 42.00 mm, tolerance ±0.05 mm. Enter the value. | | Finish the job. | Take a photo of the label on the pallet. Press Save. | ### 5. Add checks, values and safety steps Wherever an error would be expensive or dangerous, turn the step into a check the operator must confirm: a measured value with a tolerance, a photo of the result, a yes/no confirmation or a signature. Put safety steps (lock-out, protective equipment, hazardous materials) in the sequence where they are needed, not in a general warning at the top that nobody reads. ### 6. Test with someone who has never done the task Give the draft to a trained colleague who has not performed this specific task and watch them follow it without helping. Every question they ask is a missing step, a missing photo or an ambiguous value. Fix those, then test again. Two rounds are usually enough. ### 7. Publish digitally where the work happens An instruction in a binder or a network folder is read once. Publish it in a system with version control, put a [QR code](https://workinstruction.app/qr-code) or [NFC tag](https://workinstruction.app/nfc-sop) on the machine so the instruction opens in seconds, and retract the paper version the same day. Digital execution also gives you the evidence for audits: who did what, when, with which values and photos. ### 8. Give it an owner and a feedback loop Every instruction needs one owner who receives remarks from operators, reviews the instruction after changes or incidents and publishes new versions. Without an owner, digital instructions age exactly like paper. With a remark button in the instruction, the improvement loop runs by itself. ## Work instruction template Copy this structure for every instruction. In the Work Instruction App the header fields are part of the workflow definition and each step is a block with its own photo, text and optional input. | Field | Content | | Title | Verb + object + where: "Change die on press 3" | | Owner and version | Name of the owner, version number, date published (automatic in a digital system) | | Trigger | When this instruction is used: "At every product changeover on press 3" | | Required | Tools, materials, protective equipment, qualification | | Safety | Lock-out and protective measures placed as steps in the sequence | | Steps 1 to n | One action each, with photo, target value or tolerance where relevant, and a check (confirmation, value, photo, signature) at critical points | | Result | What "done" looks like, with a photo of the correct end state | | Remarks | A way for the operator to report problems or suggest improvements to the owner | ## Checklist before you publish - Every step starts with a verb and contains one action. - Every value has a unit and a tolerance. - Every critical step has a check the operator must confirm. - Photos show the real workstation and are taken from the operator's position. - A colleague who never did the task completed it without asking questions. - The instruction opens from the machine via QR code or NFC tag. - The paper version is removed and the owner and review date are set. ## Where work instructions fit Work instructions are the lowest, most concrete level of your documentation. They belong to a procedure that defines responsibilities and records; the relationship between policies, processes, SOPs and work instructions is explained on [what an SOP is](https://workinstruction.app/sop#what-is-an-sop). To build your first one in the app, follow the [getting started guide](https://workinstruction.app/getting-started); the available step types (text, photo, value, signature, barcode) are listed under [user input](https://workinstruction.app/user-input). ### How long should a work instruction be? One task, one screen. Most good work instructions have 5 to 15 steps with one action each. If you need more, split the task into two instructions and link them. ### Do I need photos in every step? Use a photo wherever the correct state is easier to show than to describe: the position of a part, the reading on a display, the finished result. Steps like "press Start" rarely need one. Photos of the real workstation beat stock images every time. ### What is the difference between a work instruction and a checklist? A checklist confirms that items have been done or checked; a work instruction explains how to do them. Many digital instructions combine both: each step explains the action and asks for a confirmation, value or photo. ### How often should work instructions be reviewed? Immediately after a process change, complaint or incident, and at least once a year. Digital instructions with a remark button make this continuous: operators report issues while working, and the owner publishes the fix. --- ## SOP template: the structure of a standard operating procedure, with an example and checklist URL: https://workinstruction.app/blog/sop-template-structure-example-checklist Published: 2026-08-26 Updated: 2026-09-26 In short: a standard operating procedure has nine sections: identification, purpose, scope, responsibilities, definitions, required resources, the procedure, records and references, and revision history. The template below explains what belongs in each section, shows a worked example for a receiving inspection, and gives a checklist to run before the SOP is approved. Use it on paper if you must, or as the structure of a digital SOP that operators execute step by step. ## The SOP template | Section | What it contains | Tip | | 1. Identification | Title, SOP number, version, owner, date of approval, next review date | Title = process + object: "Receiving inspection of purchased parts" | | 2. Purpose | Why the procedure exists, in one or two sentences | Refer to the policy or requirement it serves | | 3. Scope | Where it applies and where it does not: sites, products, departments, situations | Name the exclusions explicitly | | 4. Responsibilities | Which role does what: performs, checks, approves, records | Use roles, never names | | 5. Definitions | Terms and abbreviations that could be misread | Leave out if everything is obvious | | 6. Required resources | Tools, materials, equipment, forms, software, qualifications, protective equipment | Everything the operator must have before starting | | 7. Procedure | Numbered activities in sequence, with decision points and acceptance criteria; references to work instructions for detail | One activity per number, verb first | | 8. Records and references | Which records are created, where they are kept, for how long; related SOPs, standards, drawings | Records are the evidence auditors ask for | | 9. Revision history | Version, date, what changed, who approved | Automatic in a digital system with version control | ## Section by section ### 1. Identification The header makes the document findable and traceable: a unique number, a version, an owner and the dates of approval and next review. In a digital system these fields are properties of the procedure and update themselves when a new version is published. On paper they are the fields most often out of date, which is why auditors look at them first. ### 2. Purpose One or two sentences: what the procedure achieves and which requirement it serves. "This procedure ensures that purchased parts are inspected against the drawing before they are released to stock, as required by our quality policy and ISO 9001 clause 8.4." ### 3. Scope Where the SOP applies and, just as important, where it does not. "Applies to all purchased mechanical parts received at the Ugchelen site. Excludes packaging materials and consumables, which are covered by SOP-014." Clear exclusions prevent two SOPs from claiming the same activity. ### 4. Responsibilities List roles and their duties: the warehouse operator performs the inspection, the quality inspector decides on deviations, the purchaser informs the supplier. Roles instead of names keep the SOP valid when people change jobs. In a digital SOP, roles map to user permissions: who may execute, who may analyse, who may edit. ### 5. Definitions Only the terms that could be misread: "lot", "first article", "deviation". If the vocabulary is common in your company, skip the section rather than padding it. ### 6. Required resources Everything the operator needs before starting: the drawing, calipers with a valid calibration, the inspection form or digital step, protective gloves. Listing resources up front prevents the most common interruption: starting the procedure and discovering halfway that a tool is missing. ### 7. Procedure The heart of the document: numbered activities in the order they happen, each starting with a verb, with decision points ("If the quantity differs from the delivery note, go to 7.6") and acceptance criteria ("Release when all sampled parts are within tolerance"). Keep the activities at procedure level and refer to [work instructions](https://workinstruction.app/blog/how-to-write-a-work-instruction-template) for the hands-on detail of individual steps, such as how to measure a specific dimension. ### 8. Records and references State which records the procedure produces (inspection results, deviation reports, release stamps), where they are stored and how long they are kept. Add references to related SOPs, standards, drawings and forms. In a digital SOP the record is created automatically at each step: values, photos, signatures and timestamps land in the [audit trail](https://workinstruction.app/audit) without extra work. ### 9. Revision history Version, date, summary of the change and approver. This is what proves to an auditor that the procedure is maintained. With [version control](https://workinstruction.app/version-control) the history is complete by definition; on paper it depends on discipline. ## Worked example: receiving inspection of purchased parts A shortened example to show the level of detail. The full procedure would reference two work instructions (measuring with calipers, creating a deviation report). | Title | SOP-021 Receiving inspection of purchased mechanical parts, v3, owner: Quality Manager, review: yearly | | Purpose | Ensure that purchased parts meet the drawing before release to stock. | | Scope | All mechanical parts received at the Ugchelen warehouse. Excludes packaging and consumables (SOP-014). | | Responsibilities | Warehouse operator: identification, count, visual and dimensional check. Quality inspector: deviation decisions. Purchaser: supplier communication. | | Resources | Delivery note, drawing (current revision), calibrated calipers, inspection step in the app, release labels. | | Procedure | 7.1 Compare the delivery note with the purchase order; enter the quantity. 7.2 Check the packaging for damage; photograph any damage. 7.3 Select the sample size from the table in appendix A. 7.4 Measure the dimensions marked on the drawing (WI-021-1); enter each value. 7.5 If all values are within tolerance: apply the green release label and book the parts into stock. 7.6 If a value is out of tolerance: apply the red hold label, create a deviation report (WI-021-2) and notify the quality inspector. | | Records | Inspection record per delivery (quantity, values, photos, operator, timestamp), kept 5 years. Deviation reports in the quality system. | | References | ISO 9001 clause 8.4; SOP-014; WI-021-1; WI-021-2; drawing register. | | Revision history | v3 (2026-08): sample table updated; v2 (2025-03): photo of packaging damage added; v1 (2024-01): first release. | ## Common mistakes in SOPs - Too long. If the procedure section exceeds three pages, the hands-on detail has crept in. Move it to work instructions. - Names instead of roles. The SOP breaks the day someone leaves. - No acceptance criteria. "Check the part" without a tolerance leaves the decision to the operator. - Records that nobody keeps. If the procedure says a form is filled in but the form is not in the workflow, the record does not exist when the auditor asks. - Revision history maintained by hand. It is the first thing to be forgotten and the first thing an auditor checks. ## Checklist before approval - Number, version, owner and review date are filled in. - Purpose refers to a policy or requirement. - Scope names the exclusions. - Every responsibility is a role. - Every activity starts with a verb and has one clear result. - Every decision point has a criterion and a next step. - Every record is named, with location and retention time. - Referenced work instructions exist and are current. - The procedure was walked through once by someone who did not write it. ## From template to digital SOP The same nine sections work as the structure of a digital procedure: the header becomes the workflow properties, the procedure section becomes the executable steps, and records are captured at the step where they arise. That removes the two weakest points of paper SOPs, outdated headers and missing records, and turns the procedure from a document into something operators actually use. See [what an SOP is](https://workinstruction.app/sop#what-is-an-sop) for the background and [SOP software](https://workinstruction.app/sop) for how the Work Instruction App supports it. ### What sections must an SOP contain? Title and identification, purpose, scope, responsibilities, definitions if needed, required materials and tools, the procedure itself as numbered activities, records and references, and a revision history. Regulated industries add approval signatures and training requirements. ### Is there a standard SOP format? No official one. ISO 9001, GMP and HACCP describe what must be controlled, not the layout. The nine-section template in this article covers what auditors in all of those frameworks expect to find. ### How detailed should the procedure section be? Detailed enough that two trained people would perform the process the same way, but not so detailed that it describes every hand movement. Hand movements belong in work instructions that the SOP references. ### Can I use the template for a digital SOP? Yes. In a digital system the header sections become properties of the workflow (owner, version, scope) and the procedure section becomes the sequence of steps operators execute, with records captured automatically at each step. --- ## Why use digital work instructions? Benefits, costs and pitfalls compared with paper URL: https://workinstruction.app/blog/why-use-digital-work-instructions Published: 2025-07-10 Updated: 2026-09-26 In short: paper work instructions are cheap to print and expensive to run. They are outdated the moment a process changes, nobody can prove they were followed, and every new colleague needs a person to explain them. Digital work instructions put the current version with photos, checks and data capture on the device at the workstation, log every execution, and cost a few euros per user per month. The pitfalls are organisational, not technical. ## What are digital work instructions? A digital work instruction is a step-by-step guide that operators follow on a smartphone, tablet or PC instead of on paper. Each step contains one action, usually with a photo or short video of the real situation, and can ask for input: a checkbox, a measured value, a photo of the result or a signature. The instruction is created and published centrally, so everyone always works from the same current version, and every execution is logged automatically. Digital work instructions are the operational layer of a [standard operating procedure](https://workinstruction.app/blog/why-use-standard-operating-procedures): the SOP defines the procedure, the digital instruction guides the person through it. See also our overview of [digital work instructions](https://workinstruction.app/workinstruction) and what makes them different from a PDF on a shared drive. ## Paper versus digital: eight criteria | Criterion | Paper instruction | Digital work instruction | | Version control | Depends on who replaced the sheet; old copies survive in drawers | One published version; old versions retracted automatically | | Access at the workstation | Binder, cabinet or a walk to the office | Scan a [QR code](https://workinstruction.app/qr-code) or tap an [NFC tag](https://workinstruction.app/nfc-sop) on the machine | | Media | Text and the occasional printed photo | Photos, video, drawings, forms and checklists per step | | Data capture | Handwritten values, retyped later or lost | Values, photos and signatures captured inside the step | | Proof of execution | Signed checklists, filed by hand | Automatic log per step with user and timestamp | | Updating a step | Reprint, redistribute, hope the old copies disappear | Edit, publish, everyone sees the change immediately | | Training new people | Depends on an experienced colleague being available | The instruction repeats the explanation as often as needed | | Multiple sites and languages | Separate binders that drift apart | One instruction, translated, published everywhere | ## Six benefits of digital work instructions ### 1. Fewer errors and less rework Most errors on the shop floor come from information that was missing, outdated or ambiguous. A photo of the correct state, one action per step and a mandatory check at the critical point remove the guesswork. Companies that digitise their instructions typically see the same errors stop repeating within weeks, because the fix is published once and reaches everyone. ### 2. Faster onboarding and flexible staffing With paper, a new operator depends on whoever has time to explain the job. With a digital instruction, the explanation is always available, in the language of the operator, with the photos that make it unambiguous. New colleagues become productive in days, temporary workers can be deployed safely, and experienced operators can cover another workstation without a briefing. ### 3. Always the current version A process change is only real when it reaches the workstation. Digital publishing with [version control](https://workinstruction.app/version-control) makes that instant: the owner publishes the new version, the old one is retracted, and the change history shows who changed what and when. No more reprinting, no more sheets with handwritten corrections. ### 4. Evidence and traceability Every executed instruction produces a record: who did it, when, which values were measured, which photos were taken, which steps were confirmed. That record is the evidence auditors ask for under ISO 9001 and GMP, the traceability customers ask for after a complaint, and the data quality teams need to find the step where problems start. See [audit trails](https://workinstruction.app/audit) for how this looks in practice. ### 5. Access at the point of work The best instruction is useless if it is three rooms away. A QR code or NFC tag on the machine, the cart or the product opens the right instruction on the device in the operator's hand within seconds. That also solves the "which version is this" question for good: the tag always opens the published version. ### 6. A feedback loop for continuous improvement Operators see the problems first. A remark button in the instruction sends their observation to the owner, who can improve the step and publish the change the same day. Combined with execution data, this turns instructions from static documents into a living improvement system. ## What do digital work instructions cost? The software is the smallest part of the cost. The Work Instruction App, for example, is priced per user per month: from 5 euro for operators who execute instructions, 50 euro for users who analyse results and 100 euro for users who create and manage instructions. See the [pricing page](https://workinstruction.app/subscription) for the current plans. Devices are usually already there: most companies start with the smartphones operators carry and add shared tablets at fixed workstations. The cost of paper is less visible but larger. Count the hours spent printing and distributing updates, the rework caused by an outdated sheet, the audit preparation that takes days because records are in binders, and the onboarding time of every new colleague. For a team of twenty operators, a single avoided rework batch or one shorter audit typically pays for a year of licences. ### Digital work instructions next to ERP and MES Digital instructions do not replace your ERP or MES; they sit in front of them at the workstation. Order data such as article numbers, quantities and customer requirements can be pulled into the instruction, so operators see the right variant without retyping anything, and the results of the executed steps can flow back into the order. For companies working with Exact Online this is available out of the box; see the [Exact Online integration](https://workinstruction.app/exact-online). Start without integration, prove the benefit on one line, and connect the systems once the instructions are stable. ## Five pitfalls to avoid - Scanning the binder. Turning a ten-page document into a ten-page PDF changes nothing. Rebuild the instruction as steps with one action and one photo each. - No owner. Every instruction needs one person who receives feedback, reviews it and publishes changes. Without an owner, digital instructions age exactly like paper ones. - Starting with everything. Digitising all 300 instructions before going live delays the benefit by a year. Start with the ten that cause the most errors or questions. - Forgetting the access point. If operators have to search for the instruction in a menu, they will not. Put a QR code or NFC tag where the work happens. - Collecting data nobody uses. Ask for a value or photo only where it drives a decision or provides required evidence. Every extra input costs operator time. ## Rolling out digital work instructions in five steps - Choose one line or one team and the ten instructions that matter most there. - Build the instructions at the workstation together with the operators who do the work: photos of the real situation, one action per step, checks where errors are expensive. - Add the access point: a QR code or NFC tag on the machine or workstation. - Run two weeks in parallel with paper, collect remarks, fix the instructions and then retract the paper copies. - Review the execution data after a month, decide which steps to improve, and expand to the next line. Track who is trained on which instruction in a [skills matrix](https://workinstruction.app/skills-matrix). Done this way, the first line is live within two to three weeks, and the improvement loop starts turning immediately. That is the real difference between paper and digital: paper documents the process once, digital work instructions keep improving it. ### Do we need a tablet at every workstation? No. Digital work instructions run on any smartphone, tablet or PC with a browser. Most companies start with the devices operators already carry and add a shared tablet at fixed workstations. A QR code or NFC tag on the machine opens the right instruction on whatever device is at hand. ### Can operators add photos or remarks while executing an instruction? Yes. A digital instruction can ask for a photo of the result, a measured value, a checkbox or a signature at any step, and operators can leave a remark for the owner of the instruction. That is how digital instructions become both proof of execution and a feedback channel for improvement. ### How do digital work instructions help with ISO 9001 or GMP audits? They cover both halves of an audit question: the documented procedure (the published, versioned instruction) and the evidence that it was followed (the execution log with timestamps, users, values and photos). Auditors can be shown the history of any instruction and any executed run without searching through binders. ### What is the difference between digital work instructions and an MES? A manufacturing execution system schedules and tracks orders across the plant. Digital work instructions guide the person at one workstation through one task. The two complement each other: the MES says which order comes next, the work instruction says how to perform it. Many companies start with digital instructions because they can be live in days without an integration project. --- ## Why use standard operating procedures? URL: https://workinstruction.app/blog/why-use-standard-operating-procedures Published: 2025-06-26 Updated: 2026-09-26 In short: a standard operating procedure (SOP) documents how a task must be done, by whom and to which standard. Organisations use SOPs because they make quality repeatable, shorten onboarding, keep knowledge inside the company and prove compliance during audits. SOPs fail when they live in binders, run too long or have no owner. Digital SOPs with version control solve exactly those problems. ## What is a standard operating procedure? A standard operating procedure is a documented, step-by-step description of a routine task: the purpose, the scope, who is responsible, which tools and materials are needed, and the exact sequence of actions and checks. Unlike a policy (which says what and why) or a process map (which shows the flow between departments), an SOP is operational. It tells the person at the workstation precisely what to do next. Good SOPs are written for the person doing the work, not for the auditor. They use short sentences, one action per step, photos of the real situation, and a clear check at every point where something can go wrong. For a complete definition and a writing guide, read [what an SOP is and why it matters](https://workinstruction.app/sop#what-is-an-sop). ## Seven reasons to use SOPs ### 1. Consistent quality, whoever is on shift Without a written standard, every operator develops a personal way of working. Most of those variations are harmless, but a few cause defects, complaints or safety incidents, and nobody can tell which ones. An SOP fixes the best known method so that the outcome no longer depends on who happens to be on shift. That is the foundation of every quality system, from ISO 9001 to Good Manufacturing Practice. ### 2. Faster onboarding and safer cross-training New colleagues learn fastest when they can follow a procedure step by step instead of remembering everything from a single demonstration. With SOPs, a supervisor explains the task once, the SOP repeats it as often as needed, and the new operator becomes productive in days instead of weeks. The same applies to cross-training: an experienced operator can safely cover a different workstation because the procedure is right in front of them. ### 3. Knowledge stays in the company In many plants a handful of experienced people know how the tricky machines really behave. When they retire, fall ill or leave, that knowledge goes with them. Writing the procedure down, ideally with their photos and remarks, turns tacit knowledge into company property. A [skills matrix](https://workinstruction.app/skills-matrix) then shows who is qualified for which SOP, so you can spot single points of failure before they hurt. ### 4. Audit-ready compliance ISO 9001, GMP, HACCP, ISO 13485 and customer audits all ask the same two questions: is there a documented procedure, and can you prove it was followed? SOPs answer the first question. Digital SOPs with an [audit trail](https://workinstruction.app/audit) answer the second one automatically, because every executed step is logged with a timestamp, a user and any data or photos that were captured. Audit preparation shrinks from days of collecting paperwork to a filter on a screen. ### 5. Fewer errors, less rework, less waste Most errors on the shop floor are not caused by carelessness but by missing or outdated information: a changed torque value, a new label, a step that was added last month. When the SOP is the single source of truth and everyone works from the current version, those errors disappear. Fewer errors mean less rework, less scrap and fewer emergency shipments, which is where the return on SOPs is usually felt first. ### 6. A baseline for continuous improvement You cannot improve a process that nobody performs the same way twice. The SOP is the baseline: once everyone follows the same steps, you can measure cycle times, spot the step where problems occur, test an improvement and publish it as the new standard. This is the standard work loop of lean manufacturing, and an SOP is what makes the loop turn. ### 7. Safety and risk control Lock-out steps, personal protective equipment, hazardous materials and lifting operations belong in the procedure, not in someone's memory. An SOP that includes a mandatory safety check, ideally one the operator has to confirm before the next step opens, is one of the simplest and most effective safety measures a company can take. ## Why SOPs fail in practice Most companies that say "we tried SOPs and they did not work" ran into one of the failure modes below. All of them are organisational, and all of them are fixable. | Symptom | Root cause | Fix | | Nobody reads the SOP | Ten pages of text written for the auditor | One screen per task, one action per step, a photo per step | | The binder is outdated | No owner, no review date, paper copies everywhere | One owner per SOP, a review date, digital distribution with [version control](https://workinstruction.app/version-control) | | Operators cannot find the right SOP | Documents live on a server folder or in a cabinet | Open the SOP at the machine via a [QR code](https://workinstruction.app/qr-code) or [NFC tag](https://workinstruction.app/nfc-sop) | | Two versions of the truth | Local copies, e-mailed PDFs, handwritten notes | Publish once, retract old versions automatically | | No proof the procedure was followed | Paper checklists that are signed afterwards | Digital execution with timestamps, photos and e-signatures | | Improvements never make it into the document | Feedback has no route back to the owner | A remark button inside the SOP that reaches the owner | ## Paper SOPs versus digital SOPs An SOP on paper is better than no SOP. But paper has structural limits that show up as soon as you have more than a handful of procedures or more than one location. | Criterion | Paper SOP | Digital SOP | | Current version | Depends on who replaced the pages | Always the published version, old ones retracted | | Media | Text, maybe a printed photo | Photos, video, drawings, forms, checklists | | Finding the procedure | Cabinet, binder, server folder | Scan a QR code or tap an NFC tag at the machine | | Proof of execution | Signed checklist, filed by hand | Automatic log per step, searchable for audits | | Data capture | Handwritten values, retyped later | Measurements, photos and signatures captured in the step | | Multiple languages and sites | Separate binders that drift apart | One procedure, translated, published everywhere | The full comparison, including costs and pitfalls, is in [digital work instructions versus paper](https://workinstruction.app/blog/why-use-digital-work-instructions). ## How to introduce SOPs in five steps - Pick five tasks that hurt. Start with the procedures that cause the most errors, questions or audit findings, not with the easiest ones. Quick, visible wins create the pull for the rest. - Write with the operator, at the workstation. Take photos of the real situation, note the tricks experienced people use, and keep every step to one action. A good first draft takes an hour, not a week. - Add checks where it matters. A measurement, a photo of the result or a confirmation before a critical step turns the SOP from a document into a control. - Publish digitally and make it findable. Put a QR code or NFC tag on the machine, the cart or the workstation so the SOP opens in seconds. Retract the paper copies the same day. - Assign an owner and a review date. Every SOP gets one owner who receives feedback and reviews the procedure at least yearly. Track who is trained on which SOP in a skills matrix. ## Where SOPs matter most Every organisation with repeatable work benefits, but the return is highest where errors are expensive or regulated: [manufacturing](https://workinstruction.app/manufacturing) (changeovers, quality checks, maintenance), [logistics](https://workinstruction.app/logistics) (receiving, picking, shipping), [pharmaceuticals](https://workinstruction.app/pharmaceuticals) (batch records, cleanroom protocols) and any company working under [ISO 9001](https://workinstruction.app/iso-9001) or [GMP](https://workinstruction.app/gmp). The conclusion is simple: SOPs are not paperwork, they are the operating system of a reliable company. Written for the operator, kept current and executed digitally, they pay for themselves in fewer errors, faster onboarding and audits that take hours instead of weeks. ### What is the difference between an SOP and a work instruction? An SOP describes a complete procedure: the purpose, scope, responsibilities and the sequence of steps. A work instruction zooms in on one task within that procedure and explains exactly how to perform it, often with photos or a short video. In practice the two are combined: the SOP is the frame, the work instructions are the steps inside it. ### How long should an SOP be? As short as possible while still being complete. A good rule of thumb is one screen or one page per task, with one action per step. If an SOP grows beyond 15 to 20 steps, split it into several linked procedures. ### How often should SOPs be reviewed? At least once a year, and immediately after a process change, an incident, a customer complaint or an audit finding. Digital SOPs with version control make this easy: the owner receives the review, publishes the new version and every operator sees only the current one. ### Do small companies need SOPs? Yes, especially when a few people carry most of the knowledge. An SOP protects the company when someone is ill, leaves or when a new colleague starts. Start with the five tasks that cause the most errors or questions; that is usually enough to feel the benefit within weeks.
