What is an audit trail in a work instruction?

An audit trail is the complete, time-stamped record of who executed which step of a procedure, when, and with which result. In the Work Instruction App the trail is not a separate log that someone has to maintain: it is created automatically while an operator executes a work instruction. Each confirmation, entered value, scanned barcode, photo and signature is stored with the user, the timestamp and the version of the instruction that was used.

That last point matters in audits. An auditor does not only ask whether a task was done, but whether it was done according to the approved version of the procedure. Because every execution is linked to the published version, you can show exactly which steps, limits and checks applied at that moment, even years later.

How the audit trail works

  1. An operator opens a work instruction on a phone, tablet or PC, for example by scanning the QR code on the machine.
  2. Every step is confirmed or asks for input: a value, a yes/no check, a photo, a barcode scan or a signature.
