What is a digital form in a work instruction?
A digital form collects structured data during the execution of a task: quantities, measurements, batch numbers, temperatures, remarks, photos and signatures. In the Work Instruction App forms are not separate documents: each step of an instruction can ask for input, so the form is filled in at the moment and place where the value originates. That removes the transcription step from paper to spreadsheet in which most errors happen.
Entered values are stored with the execution, together with user, timestamp and instruction version, and are available for analysis in the app and through the REST API.
How forms work in the app
- Add an input step to an instruction: number, text, date, photo, barcode or signature (see user input).
- Show the target value or a reference photo in the step, so the operator knows what a correct result looks like.
- Combine input with device input such as barcode scanners, so operators type less and scan more.
- Analyse results per instruction and period in the app, or pull them into your ERP, MES or BI tool through the REST API.
Use case: batch record in a chemical plant
A chemical producer registered batch data on paper: raw material lot numbers, weighed quantities, reactor temperatures at fixed times, a final pH. Transcribing this into the ERP took an hour per batch and produced errors. Now the operator scans the lot label, enters the weight from the scale, reads the temperature from the display and photographs the pH meter, all in the instruction steps.
The batch record is complete when the instruction is complete, with a timestamp per step. The QA reviewer opens it on screen and signs, instead of chasing a binder.
