What is a skills matrix?
A skills matrix (also competency matrix or qualification matrix) is a table of employees against tasks or work instructions, showing who is qualified for what. In the Work Instruction App the matrix is not maintained by hand: it follows from the work instructions each user is allowed to execute and has executed. That makes it a living document instead of a spreadsheet that is outdated the day after the audit.
ISO 9001 clause 7.2 (competence) and GMP require that people performing work are demonstrably competent. A skills matrix linked to real executions gives that evidence without extra administration.
How the skills matrix works in the app
- Work instructions are assigned to users or groups; the matrix shows which user may execute which instruction.
- Executions are logged, so the matrix also shows who has actually performed an instruction, and when for the last time.
- Gaps become visible: instructions that only one person can execute, or people without a recent execution of a critical task.
- Use the matrix for shift planning, onboarding plans and audit evidence of competence.
Use case: single point of failure on the night shift
A metal-working company discovered through the matrix that only one operator was qualified for the changeover of the largest press, and that this operator worked day shift only. Two colleagues were trained with the digital work instruction and executed it under supervision; their executions in the audit trail became the training record.
Six weeks later the night shift performed its first changeover without calling anyone at home.
Frequently asked questions about the skills matrix
No. The matrix follows from the assignment of work instructions to users and from the executions that are logged. You maintain assignments; the app maintains the evidence.
The matrix is based on work instructions in the app. External certificates (forklift licence, safety training) can be modelled as an instruction with a signature or photo step, so their evidence lives in the same place.
Auditors ask for evidence that people are competent for the work they do. A matrix linked to executed instructions, with dates and results, is stronger evidence than a signed training list.
